  • Typical Work Activities:

    • Answer incoming telephone calls promptly and courteously, directing calls to the appropriate personnel or taking accurate messages when necessary.
    • Welcome clients and visitors to the law firm with a warm and professional demeanour, ensuring they feel valued and attended to.
    • Manage the reception area, maintaining a tidy and organized space conducive to a professional atmosphere.
    • Assist with scheduling appointments and managing meeting room bookings as needed.
    • Handle incoming and outgoing mail, including sorting, distributing, and processing as required.
    • Capable of effectively communicating and coordinating with service maintenance providers when necessary.
    • Maintain and update client databases and contact lists with accurate information.
    • Provide administrative support to various departments within the law firm, including word processing, filing, and photocopying documents.
    • Assist with basic office tasks such as ordering supplies, coordinating courier services, and monitoring office equipment.
    • Maintain confidentiality and discretion with sensitive information.
    • Collaborate effectively with colleagues to ensure seamless communication and workflow within the office.

    Key Attributes:

    • Proficiency in Microsoft Office 365 (essential).
    • Knowledge of LEAP (an advantage).
    • Possess proficiency in utilising technical facilities in a boardroom setting, including multimedia equipment.
    • Fast and accurate keyboard skills. (Essential).
    • Have familiarity with office equipment such as scanning, photocopying, printing and binding.
    • Understanding on how to work with Nitro Pro and/or Adobe Pro.
    • Familiar with how to share documents using OneDrive.
    • Familiar with electronic portals such as ASIC, RevSA, EPIC, SAILIS, city councils (an advantage).
    • Previous experience in a receptionist or administrative role, preferably within a professional services environment.
    • Excellent verbal and written communication skills, with a polite and articulate phone manner.
    • Strong interpersonal skills, with the ability to interact professionally with clients and colleagues at all levels.
    • Organisational skills and attention to detail, with the ability to multitask and prioritise tasks effectively.
    • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and experience with office equipment such as photocopiers, overhead projectors, multimedia scanning.
